National Grid is hiring an Executive Assistant for our Audit department in Waltham, MA.

Job Purpose

To provide professional, comprehensive and flexible secretarial and administrative support to the Band A executive to maximise their contribution of effective leadership.

Key Accountabilities

  • Organise travel and accommodation requirements for visits, meetings and conferences, including those that are overseas.

  • Organise meetings involving internal and external parties and large scale events.

  • Proactively follow up on minutes and actions on behalf of parties and organise 1-1 meetings with the respective team members.

  • Prepare materials including the design and preparation of presentation materials and briefings, where necessary. Summarise papers and reports in preparations for meetings.

  • Interface and liaise at all levels, providing quality responses to inquiries and insights that support decision making.

  • Organise, deliver, maintain and improve an effective filing system.

  • Be a point of contact, dealing with inquiries, general issues and monitor progress on behalf of the relevant parties.

  • Act as liaison with relevant project team members in order to ensure resources and materials are available as and when required in order to meet given project milestones.

  • Effectively manage calendars for meetings, workshops, appointments in the US and UK and plan and coordinate travel arrangements.

  • Carry out specific tasks in line with clear procedures and working practices.

  • Maintain and update financial and other relevant information, through the use of spreadsheets, systems databases etc. in order to ensure data is accurate and easily accessible.

  • Collect data using a variety of standard sources e.g. company reports, government data and internet and input into standard formats and interprets and organizes information to produce accurate reports for use by others.

  • Support functional onboarding and hiring activities.

  • Respond to customer queries relevant to department in order to ensure immediate response to problems.


  • Associates Degree in Secretarial Science with 5+ years of qualifying experience or equivalent.

  • Strong working knowledge of Microsoft Applications: Word, Excel and PowerPoint.

  • Ability to assemble and handle highly confidential and sensitive information with discretion
