Job Description

WGL Energy (WGLE) is seeking an Executive Assistant & Office Manager who will report to the President and work independently, performing a wide range of complex and confidential administrative functions, including providing support on special projects and events across the organization. The ideal candidate will offer excellent communication, interpersonal skills and ability to provide information and service to a wide range of internal and external customers. Given that this position is the first person with whom our stakeholders will interact at our Tysons office, we need someone who brings customer service to the forefront under all circumstances.

Key Responsibilities Include but not limited to:

  • Ensuring well-coordinated, efficient, and effective day-to-day operation of the office, including being the first point of contact for anyone visiting the office.

  • Supporting the company President, as well as team Vice Presidents as required, for managing appointments, issuing surveys, scheduling conferences, etc.; manage itineraries and make travel and hotel arrangements as needed.

  • Assisting in the creation and assembly of time sensitive proposal documents, to include presentations in Powerpoint, Excel, or Word for the company President and Vice Presidents.

  • Maintaining professional appearance of the reception area and overall office space. Distribute all corporate, inter office and external mail. Answer general incoming calls to the company, answer general questions and forward on calls that need to be fielded by a specific department. Greet incoming guests and employees in 12th floor reception area.

  • Serving as liaison with building property manager to maintain office environment and promptly resolve any building related issues.

  • Managing inventory levels, place orders and stock inventory for office supplies and kitchen/café supplies. Assist with shipping and tracking of packages and the maintenance of shipping supplies.

  • Coordinating and establish new workstations and conduct office orientation for all new employees.

  • Organizing and maintain office reference library for employee orientation, local service support, couriers, vendors and restaurants.

  • Coordinating meetings and functions for internal and external attendees including company and external executives. Coordinating meals and snacks as needed.

  • Managing the office recycling program through coordination with outside vendors for pick up of recyclables.

  • Processing office related invoices in ePro. Process PCard reporting for staff to include reconciling receipts and monthly statements.

What we are seeking:

  • High School Diploma or GED with a minimum five (5) years administrative support experience, with preference at the executive level

  • Demonstrated ability to handle confidential matters in a professional manner using discretion, judgment, tact and diplomacy.

  • Strong attention to detail, as well as strong written and oral communication skills required.

  • Proven ability to use computer software and applications, including Microsoft Office Word, Excel and PowerPoint to share, retrieve, and research business information.
