About The Position

The Legal Assistant performs complex, legal, secretarial and other administrative activities, which may be highly confidential and sensitive. Serves as liaison between attorneys and office staff, in-house Ameren clients and outside Legal Counsel. Coordinates the administrative support activities.

Key responsibilities include:

  • Provides primary support to the transactional team.

  • Assist with preparation and revision of agreements, contracts, correspondence, legal documents and court filings.

  • Create, manage and organize legal files for each legal matter.

  • Provide legal assistance to Legal Department Directors, team attorneys and related personnel (i.e. claims representatives, paralegal) for highly confidential Company matters.

  • Provides support for administrative matters and internal reports on behalf of the Labor, Employment, Litigation & Claims Team (i.e. weekly reports, quarterly KPI's).

  • Proofread prepared materials for correct grammar, spelling, punctuation, format, syntax, and content, before sending outside department/Company.

  • Review legal documents to ensure they are in proper format. File legal documents electronically with courts. Prepare and mail hard copy mailings to case service lists.

  • Assemble materials, documentation, and correspondence.

  • Keep track of and coordinate attorneys’ schedules and activities, monitor deadlines, coordinate travel arrangements, schedule meetings and seminar activities.

  • Prepare and process expense reports for reimbursement to attorneys.

  • Coordinate activities between in-house and outside counsel.Serve as prime interface between the two.

  • Assist in processing Legal Department invoices through E-Billing solution (CounselLink).

  • Assist with the creation, monitoring, and updates to the Labor, Employment, Litigation & Claims Team budget. Prepare and run budget reports from CounselLink system as requested (i.e., expenses by month and year, by matter and by law firm).

  • Track and maintain accurate legal reserves. Process invoice and settlements as related to Litigation & Claims.

  • Set up, maintain and keep current files for Legal's matter management system, as well as attorneys’ office files.

  • Serve as an administrator of the department’s ebilling system “CounselLink”.

  • Assist with CLE and licensing requirements for Labor, Employment, Litigation & Claims Team attorneys.


High School Diploma or equivalent required. An Associate’s Degree or Certificate of Proficiency – Legal Secretary preferred. Five or more years’ of legal secretary experience required.

In addition to the above qualifications, the successful candidate will demonstrate:

Knowledge of filing systems, court rules and procedures, legal terminology and syntax, content, organization, office technologies, and format of legal documents and correspondence. Ability to compose correspondence and reports, select and apply references such as dictionaries, English usage manuals, legal references and procedures manuals required. Skilled typing ability and knowledge of personal computers, software (includes complete "Office Suite" i.e. Office 365, Power Point, Excel), SharePoint, and related applications and systems preferred.

Ability to follow complex instructions, apply instructions and/or guidelines as appropriate in the performance of support activities, maintain composure during stressful situations occurring as a result of workloads and/or deadlines required. Ability to perform mathematical calculations, transcribe documents from written, oral, or computer generated formats, interpret instructions and guidelines in order to make decisions and take necessary actions, and determine work priorities also required. Financial acumen to assist in budgeting and invoicing activities. Experience with Westlaw or LexisNexis preferred.
