Washington Gas Light Co. Construction Support Data Specialist in Springfield, Virginia
Job Description
Summary: Create and maintain records for a job and permit processing, including new construction, replacement, maintenance, and paving. Facilitate payment to contractors for completed construction and paving work. Enter and verify data in company’s Work Management Information System (WMIS). Support internal and external customers in construction, paving, invoicing, design and permitting.
Tasks & Responsibilities:
Apply, obtain, manage, renew, close out and remit for jurisdictional grants. Perform work via WMIS
Compute permit fees and take appropriate action to ensure payment;
Travels to various permit agencies to pick up permits
Process and track jurisdictional paving schedules
Maintain log of paving complaints, dispatch as appropriate and follow-up to assure claim is adequately addressed
Prepare customer notification letters and internal processing of customer checks
Data entry in ICIS for meter set orders and meter locations;
Contract processing and invoice submittal
Review and verify contractor pay items via Lotus Notes and WMIS
Data entry in WMIS, including BCA initiation, work request creation, as-builts, as build approvals, processing of CRSRE, CRSR, MPV’s, CPV’s, truck stock, change memos, etc.
Scan and attach documents into WMIS
Research and interpret Company documents (source of supply from SmallWorld, construction drawings, quad maps, map books, Field Notes, service records cards, paving tickets, Unified Work Orders, etc.) in support of construction, paving and permitting processes
Breakdown and process completed work job jackets
Prepare, as needed, various Company forms related to Company’s systems, including completion and retirement notices, notices to complete and cancel jobs, etc.
Answer phone inquiries related to sales, job status, permit questions, paving issues, etc.
Research company records in support of company’s Office of General Counsel, Finance, and other business units
Prepare status reports, as assigned
Maintain files and Perform other duties as assigned.
Skills & Abilities:
High School diploma or equivalent G.E.D.
Must successfully pass Construction Support Data Specialist Qualification test.
Must have a general knowledge of Company operations, policies and practices related to distribution pipeline/service construction, as well as, paving operations and permitting process
Demonstrate PC and mainframe skills; and Basic math skills.
Possess attention to detail and with accuracy
Effective verbal and written communication skills
Ability to analyze and process jobs for construction, permitting and paving
Clear understanding of Company’s accounting codification
Tactful in communications with internal and external customers
Must be able to gather, analyze and summarize data; * Demonstrate abilities to use MS Office Suite of products, including Excel, Word and Access; and Ability to use computer software (including WMIS, ICIS, NBCMS, OSS, POS, UWO Optical Imaging System, and Kardex).
