The Lead, Facilities Administration is responsible for managing shared services of Facility Administration functions and processes across the company and providing project leadership for various facility projects.

Duties and Responsibilities

  • Manage Facility Administrative functions including the process for payment of all invoices, documenting department process, procedures and standards reporting using all approved systems, databases and tools to uphold accuracy and consistency standards

  • Provides support or project leadership for various facility related projects and corporate initiatives including research, analytics, budget and tracking

  • Leads the Facility Administrative team efforts of recycling, sustainability, and utility program implementation and tracking, and provides documentation to support the Corporate Social Responsibility annual report

  • Supervise and train all direct reports on Facility Administration shared services in Real Estate and Facilities, ensuring cross-training and securing backfill as necessary

  • Lead tracking and reporting on department metrics, capturing data, coordinating variance explanation reporting, participate in budget planning process, and provide updates to department leadership

  • Coordination of Facility Administration shared service workflow processes and ticketing systems to provide efficient service in compliance with established standards promoting an environment focused on a positive visitor experience at all company facilities

  • Manages team use of Planon and acts as liaison between Spire and Planon support services to improve efficiencies and develop new processes

  • Prepares budget for, and provides oversight of company office supply inventory, parking programs, mail circulation, coffee services and hospitality programs including catering and event planning across company footprint

  • Manage administrative tasks of new real estate assets, leased and owned, as it relates to local ordinance requirements for occupancy and implementation of office supply services

  • Other department duties and responsibilities as requested and assigned

  • Travel required across all Company facilities

Essential Characteristics and Competencies

Supervisory Responsibilities

  • Yes

Required Education (certifications, licenses)

  • Bachelor’s degree in Business, Facilities Management, or comparable discipline

Required knowledge, skill and abilities

  • Minimum four years of experience in project management, facilities management, or other related field

  • CAFM or similar system, Planon experience preferred

  • Energy Star Portfolio preferred

  • High proficiency in Microsoft Word, Excel, Power Point and Outlook

Physical demands, environment and schedule

  • Primarily normal office conditions in a shared office environment with periodic visits to equipment rooms, construction sites or unfinished office space as needed. May require standing and moving around for entire work shift at times.
