Job Summary

This position is open to current PSEG employees only

Perform a wide variety of administrative duties for the Finance department. Primary responsibilities include providing administrative support to ensure efficient operation of the Finance department in a hybrid environment while working with material that is often sensitive and confidential in nature.

Job Responsibilities

Specific Duties include but are not limited to:

  • Perform biweekly review of time entry and approval in SAP to ensure all time is entered and approved in accordance with established deadlines

  • Follow-up with team members to ensure compliance training requirements met

  • Prepare and reconcile Pcard statements with appropriate supporting documentation for approval by Vice President or Director

  • Process departmental invoices, check requests, and other requests as they are received.

  • Open and process mail, ensure time sensitive mail (including checks) is scanned and delivered.

  • Prepare monthly accruals as required.

  • Order and maintain office supplies as needed.Keep track of computer equipment and order as needed

  • Provide support for Vice Presidents’ calendars as requested.Make travel and training arrangements as requested.

  • Prepare expense reports as necessary.

  • Provide assistance with recruiting and on boarding new hires, maintain personnel files.

  • Report building/equipment problems that arise within our workspace.

  • Prepare ad hoc spreadsheets and PowerPoint presentations as requested.

  • Support team meetings, all-hands meetings for VP’s, etc.

  • Together with administrative colleagues, ensure there is in-person coverage for teammates in the office as well as support for those working remotely

  • Provide support to all of the Finance officers and their teams, including coordinating with peers to ensure continuous support

  • The position will require skills in the below systems and also learning/use of: Catalyst, Adobe Acrobat and Zoom for meeting scheduling

  • The position requires the ability to maintain strict confidentiality at all times.

Job Specific Qualifications

• HS diploma or GED with equivalent relevant work experience with executive/key manager-level administrative support experience.

• Minimum of 7 years’ experience in providing administrative support for key manager level or above.

• Knowledge of Company policies and procedures.

• Demonstrated planning and organizational skills.

• Superior oral and written communication skills with the ability to effectively handle multiple tasks simultaneously.

• Excellent interpersonal skills and the proven ability to work well with individuals at all levels of the organization.

• Proven proficiency in the use of SAP (time reporting and administration and requisitions/purchase orders) and MS Office Suite (Word, Excel, PowerPoint).

• Excellent keyboarding skills and the ability and willingness to learn new software programs.

• Ability to work independently, meet deadlines and work under pressure.

• Demonstrated ability to handle and retain confidential information.

• Proven ability to maintain sensitive confidential information is critical to this role.

• Demonstrated ability to quickly develop good understanding of the business being supported in order to address inquiries, prioritize workload, and follow-up on action items.
