HR Representative II (Talent Acquisition Operations Program Support)

Consults and works with leaders and team members to accomplish effective governance, oversight, execution and support of Talent Acquisition programs, policies and procedures including executive recruiting, records management, and metrics reporting.

JOB DUTIES/RESPONSIBILITIES

  • Maintain departmental standard operating procedures (SOPs), offer letter templates, agreements and other related process documents and guides

  • Responsible for overall vendor management including:

  • Understanding the terms and conditions of contracts

  • Monitoring vendor performance and participating in annual business reviews

  • Coordinating with vendors on issues and change requests

  • Processing vendor payments and accruals

  • Serves as records management lead custodian for Talent Acquisition

  • Supports the delivery of executive recruiting services including:

  • Scheduling interviews & phone screens working directly with candidates and hiring managers, in some cases arranging travel for visiting candidates and processing associated expenses

  • Acts as an additional point of contact and build influential candidate relationships during the selection process

  • Identifying opportunities for improving candidate experience and scheduling efficiency

  • Drafting confidential offer documentation and agreements for executive hires

  • Initiates, assists and monitors pre-employment screenings including determining pass/fail; this includes working with Nuclear Site Access (including PHQ) to ensure full clearance as needed

  • Prepares and sends welcome letter to the new hire including key details for day 1

  • Conducts welcome phone call and guides new executive hires through pre-employment and 1st day steps and compliance paperwork

  • Prepares & sends Pre- Adverse and Adverse action letters

  • Assist with I9 processing to ensure I9 compliance

  • Participate in projects in support of major strategic imperatives

  • Serves as backup for Foreign National program and acts as subject matter expert to TA team for Foreign National process

  • Serves as lead for coordinating exceptions and one-time payments

  • Process all CIP backgrounds

  • Process expenses as well as executive candidate travel

  • Responsible for data requests, research, and benchmarking

  • Coordinate department communications

Other duties and responsibilities may be assigned.

Minimum knowledge, skills and abilities required of the position:

  • Ability to confidentially manage sensitive records of the company

  • Excellent verbal and written communications skills

  • Working knowledge of MS Office

  • Ability to work with minimum supervision as well as with a team.

  • Ability to handle multiple, time sensitive projects

  • Experience with PeopleSoft and SuccessFactors or other similar HRIS applications

  • Proficient in HRIS applications including reporting and data entry

  • Knowledge of company policies, practices and procedures

  • Able to utilize information, and information technology/systems to make fact-based decisions

  • Knowledgeable about internal controls and process analysis

Minimum requirements:

Bachelor’s degree and minimum 4+ years of HR, finance, legal or other related business experience OR in lieu of degree minimum 5+ years of HR, finance, legal or other related business experience is required.
