Job Summary

The primary purpose of the position is to perform basic and recurring activities to support management support services functions. Routine support activities include, but are not limited to, day-to-day coordination, organizing, reviewing, distributing files and/or records, and standard reporting according to procedures. Provides multifunctional support to areas such as budget/accounting, business reporting, information processing, document control, procurement/materials, facilities and equipment coordination, and general office management.

Typical duties may include:

Gathers, organizes, and compiles business and technical information.

Processes data into various business information systems and generates standard reports.

Makes copies of documents, assembles, and distributes information as required.

Files materials consisting of correspondence, operating instructions and procedures, blueprints, maintenance schedules, tracking logs, business reports, and various other data.

Acts as receptionist receiving visitors and directing them to appropriate person. Answers telephones and communicates with various offices to secure and relay information.

Distributes mail and/or correspondence to appropriate personnel.

Performs miscellaneous tasks as needed. Provides backup to other office personnel.

Supervision Received

Works under direct supervision on new tasks and minimal supervision when following standard procedures.

Skills and Proficiencies (May be job or organization specific)

  • Maintains positive relationships with internal and external contacts.

  • Ability to type using standard desktop software

  • Ability to operate various office equipment proficiently

  • Ability to maintain complete and accurate files, search and locate material from general reference.

  • Ability to apply basic procedures within assigned functional area(s) of management support services.

  • Knowledge of clerical procedures

  • Knowledge of English grammar, spelling, and punctuation.

  • Knowledge of standard office operation.

Minimum Qualifications (Consistent with Classification Standard)

Education and Experience/Certificates, Licenses, and Registration Requirements/Other Requirements

High school degree or equivalent and some clerical experience preferred.

Post high school business coursework is desired.

Competent in the use of various standard desktop software to prepare documents or equivalent.

Evidence of typing skill may be required by organization.
