Nature of Work:

This position is responsible for record keeping including but not limited to processing, recording, and verifying tickets and invoices for vendors, as well as maintaining and reconciling accounts payable ledger accounts. This position will also provide operational support and serve as a backup to the Office Administrator.

Duties and Responsibilities:

Duties listed below may vary in terms of importance and other duties may be added or eliminated as this position develops.

  • Check invoice dates, vendors, and G&L codes before releasing and updating for payment looking for errors.

  • Organize and scan invoices to managers for approval.

  • Run reports for approval.

  • Follow up on delayed approvals.

  • Assist in generating analytics around invoicing and cost tracking.

  • Provide office support to field managers including, faxing, scanning, and filing documents.

  • Produce daily crew location schedule.

  • Back up for the Office Administrator.

  • High School diploma or GED is required.

  • Minimum of 3 years of office clerical experience, preferably in an office that supports field operations.

  • Strong attention to detail and data accuracy.

  • Solid math and communication skills.

  • Ability to work independently, multi-task, and prioritize tasks.

  • Moderate to advanced knowledge of MS Word, Excel, and Outlook.

  • High level of customer service.

    Desirable Qualifications:

  • Previous work experience in an office that supports field work.
