Position Specific Description
In this exciting position, you will provide advanced administrative and departmental support to the compensation and executive services department in Human Resources. This position reports to the Senior Director Executive Services and Compensation and works in our Corporate Office in Juno Beach, FL. A successful candidate is someone who has experience handling detail-oriented assignments with a high degree of independence and accuracy. Sound professional judgement, discretion, and professionalism are crucial, as the person in this position communicates directly with company officers and members of the Board of Directors. Some key responsibilities:
Schedule and coordinate conference calls with members of the Compensation Committee of the Board of Directors; assist in the preparation and dissemination of printed Committee meeting materials
Work closely with executive officers and executive administrative assistants to handle issues requiring high levels of confidentiality and diplomacy, in support of annual compensation cycles and benefits open enrollment periods
Provide administrative support to the head of the department, scheduling meetings and conference calls, managing Outlook functions, and prioritizing correspondence and email
Partner with the department lead team to help coordinate meetings and handle critical and urgent business needs
Provide flexible support as needed including working across HR to provide assistance on special projects
Process expense reports and invoices; book travel (limited) for team members
Help organize, draft, edit, and compile communications in email, PowerPoint, Word, etc.
Support the departments general office needs, organizing team events, setting up new team member IT, etc.
Handle event planning and coordination for business functions including ordering catering
Support FPL storm efforts
Take independent action on handling requests; determine the appropriate course of action, intervene where necessary, and act as a liaison among department members
Special projects as assigned
The ideal candidate will be organized, professional, and demonstrate proficiency in Microsoft Office Suite in addition to knowledge of proper English usage, spelling, grammar, punctuation, letter and procedure-writing. A Bachelor's degree is preferred.
