CMS Energy is looking for an Executive Assistant to join the Consumers Energy family in directly supporting the Vice President of Employee Experience. Our top candidate is highly self-motivated, adaptable and has demonstrated high proficiency in fundamental Executive Assistant duties such as managing workload and schedules, prioritizing tasks, calendar coordination, email management, presentation preparation and office management.


  • Representing the Vice President of Employee Experience by welcoming visitors, arranging department functions and special events

  • Handling complex integration of conflicting calendar priorities; ensuring the optimization of time and travel.

  • Reading, analyzing and routing incoming email with appropriate files or materials attached to be answered. Composing correspondence, reports or material for signature, and answering questions and meeting requests on behalf of the Vice President

  • Completing a variety of administrative support tasks, including answering phones, filing, typing, creating / modifying complex documents (Microsoft Word and PDF) preparing presentations (Microsoft PowerPoint), creating and modifying spreadsheets (Microsoft Excel), making copies, arranging meetings, creating agendas, organizing and maintaining a busy calendar(Microsoft Outlook), One Note, etc.

  • Completing projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and making adjustments to plans

  • Researching and preparing memos, reports, data, and other informational materials as requested or deemed necessary

  • Arranging corporate travel and meetings by developing itineraries, scheduling flights or booking other transportation, arranging lodging and meeting accommodations. Preparing and reviewing Expense Reports

  • Preparing reports and financial data

  • Completing projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and making adjustments to plans

  • Work cooperatively with others toward common group objectives, demonstrates respect for the ideas and contributions of other team members, cultivates positive relationships with other associates, and provides assistance and support to others

  • Improves quality results by studying, evaluating, and re-designing processes, implementing changes as needed


  • High school diploma or equivalent

  • 5 + years in executive administrative experience with “C-level” Management in a large company

The Executive Assistant Job Family is utilized throughout the Company. Employees in this job family support Vice Presidents and Senior Officers and are required to operate personal computers, utilize various computer software programs, and demonstrate proficient administrative skills. Employees, depending on the assigned department officer, may also be required to have completed some college level coursework or to possess local, state or federal licenses and/or certification in order to carry out the assigned job duties.

Nature of Work

The essence of the work that is performed by the Executive Assistant Job Family is administrative support that is the highest level of difficulty. Employees in this job family, performance will be of a complex nature involving various functional/specialized disciplines wherein the work responsibilities can only be proficiently performed after a relatively long training/experience-related time period that may also require successful completion of various college level courses in the functional area and/or specialty. At this level, the employee could easily move to different functional areas of the Company as their specialized knowledge/skills/experience etc, would not normally be applicable.

Essential Functions

May summarize notes of meetings and prepare reports for informational or study purposes. Makes appointments, schedules meetings and informs participants as to agenda, time and pertinent subject matter. Prepares and provides participants with informational materials and notarizes documents as requested. Makes travel and conference arrangements and hotel reservations. Processes requisitions, invoices, budget estimates, inventories, contracts, and other documents relating to department activities. Devises, revises or maintains complex sets of records, files and bibliographic materials. Reads, analyzes and routes incoming mail with appropriate files or materials attached to correspondence to be answered. Composes correspondence, reports or material for officer’s signature. Utilizes software applications and other related computer and office equipment to perform a variety of tasks. Researches and prepares memos, reports, data, and other informational materials as requested or deemed necessary. As assigned, participates in developing clerical unit policies, procedures, schedules and assignments to accomplish goals and objectives. As assigned, supervises and trains other clerical personnel and administer routine office matters as delegated by the supervising officer. Establishes and maintains filing systems. Performs special assignments as requested. Performs related work as required. Regular attendance is expected.

Hours and Travel

Meet travel requirements of the position. Work a flexible schedule, which may include evenings, weekends, holidays and overtime.
