JOB PURPOSE: The Document Control Admin provides administrative support for Document Control, Accounts Receivable and the NC Paving department by ensuring accurate data reporting from the field through paving daily pay sheets and back up documentation processing. Will assist with a wide variety of basic departmental tasks and projects as needed. This role will also interface and need to build solid relationships with customers.
JOB RESPONSIBILITY SUMMARY:
Process field production dailies for paving to create billable pay sheets
Process all passthrough pay sheets based on paving supervisor’s requests
Assist in supporting the AR team’s back up documentation email in box
Update Maximo with paving details daily
Manage AR email as back up documents come in from field departments
Prepare AR back up folders
Compare basic data for AR back up documentation, ensures all data matches for billing
Communicates with Operations and Field Support when missing critical information for billing
Assist Document Control with submitting DocuSign daily
Effectively communicate with external customers through DocuSign, phone, and email
Assist with maintaining document retention policies for paving and AR.
Cultivate strong relationships with all depts within the organization and regarding neighboring depts as internal customers & acting accordingly
REQUIRED KNOWLEDGE, SKILLS, & ABILITIES:
Required: High School Diploma
Preferred: Business degree or certificate with concentrations in Accounting
Preferred: 2+ years of administrative experience, preferably in the construction industry
Possess strong written and oral communicative & problem-solving skills
Required: Able to work and communicate effectively in written form, over the phone, or in person with all levels of the company and customer. Strong interpersonal and teamwork skills. Possess moderate MS Excel and MS Word skills. Must be detailed orientated and be able to multi-task accurately as well as adept at meeting deadlines. Self-Starter, ability to work independently
