This position has two primary responsibilities: 1) coordinating meetings and materials for the Personnel Committee of the Board and the Employee Benefit Committee (EBC); and 2) coordinating all administrative functions and providing multifaceted administrative support to the Total Rewards department.
Responsibilities typically include:
facilitating agenda and material creation and finalization
uploading and replacing files in Boardvantage
drafting and sending correspondence to executives and board members
facilitating the EBC certification process
arranging meetings and managing the VPs calendar
Responsibilities also may include:
running and tracking projects and programs associated with senior management administrative support
accurately producing a variety of reports and presentations using Word, PowerPoint, Excel and Peoplesoft
developing and/or participating in special projects.
Facilitating approximately 40 Personnel Committee prep and board meetings per year which includes multiple drafts of the agendas, facilitation of all decks until final across multiple departments and SMEs, drafting summary talk points, scheduling meetings with executives and the outside compensation consultant to the Board, multiple uploads of documents to Boardvantage for all meetings, drafting and sending emails to executives and board members, ensuring appropriate access to confidential materials, creating “master files”, and interfacing with executive IT support on Boardvantage and other issues.
Facilitating a minimum of 5 EBC meetings per year which includes supporting agenda and materials creation and finalization, facilitating the EBC Certification Process and room arrangements and refreshments (when not virtual).
Providing administrative support to the Vice President including managing calendar, arranging WebEx meetings, preparing expense reports, and arranging travel.
Providing administrative support to the Total Rewards Team by scheduling events and departmental meetings, processing invoices, procuring supplies, creating agendas and facilitating staff meetings.
Running and tracking other projects as requested, including preparing documents, spreadsheets, presentations, interoffice correspondence, and copies.
Handling multiple assignments, working within deadlines with a high degree of accuracy, and maintaining confidentiality of departmental issues and documents.
Proactively forwarding work issues to the appropriate managers/teams.
Prioritizing conflicting needs; handling matters expeditiously, proactively following through on items to successful completion often with deadline pressures.
Operating as a highly resourceful team player, with the ability to also be extremely effective independently.

Minimum education required of the position:
- High school degree required
Minimum experience required of the position
- 8+ years of related experience with a bachelor’s degree, or 10+ years or related experience without a bachelor’s degree.
Minimum knowledge, skills, and abilities required of the position:
Ability to maintain confidentiality
Very strong attention to detail
Strong organizational skills that ensure deadlines are met accurately and timely
Proficiency in MS Office Word
Very strong interpersonal skills and the ability to build relationships with members across the organization
Expert level of written and verbal communication skills
Proficiency in MS excel and PowerPoint
Proficiency in BoardVantage
Any certificates, licenses, etc., required for the position:
EA Certification is a plus
