Administrative Specialist – Information Technology

Come join our talented Information Technology (IT) Services Department within the Business Office Domain as an Administrative Specialist . The Business Office Domain supports all other IT Domains through administrative support, financial and contracts management, resource planning and allocation, scorecard metrics analysis and reporting, communication planning, and audit compliance. As an Administrative Specialist, you will be responsible for providing critical scheduling and logistical support to the IT General Manager and IT Managers to ensure efficient and effective performance and operations of our department.

You are excited about the opportunity to provide a variety of specialized administrative support functions to the IT department, from managing day-to-day schedules and logistics to assisting with department projects of moderate complexity.

Your job responsibilities include...

  • Providing time-sensitive administrative support to IT, including managing and maintaining complex calendar schedules for IT senior leadership

  • Facilitating the production and distribution of IT department electronic newsletters

  • Maintaining the IT department SharePoint site

  • Providing administrative support for meetings, including scheduling, preparing, and distributing agendas, coordinating meeting room logistics and arranging for supplies or materials, documenting and distributing meeting minutes and tracking of action items to ensure completion of tasks

  • Ordering and managing office supplies and materials

  • Organizing supply rooms, mail locations, office space locations, conference rooms and assure areas are prepared, neat, organized, and stocked

  • Receiving, sorting, and distributing mail and/or deliveries

  • Assisting IT leadership with the recruitment of positions to include scheduling interviews, creating interview packets, and new hire provisioning

  • Preparing, proofreading, and formatting memos, letters, reports, and presentations for delivery to internal and/or external customers

  • Creating purchase requisitions, reviewing, processing, and tracking invoice expenditures, and reconciling Purchasing Card (P-Card) purchases

  • Maintaining electronic and/or paper filing systems for rapid recall and sharing of information and documents

  • Generating and distributing reports, spreadsheets, publications, presentations, and other materials considered detailed and/or complex in nature

  • Providing administrative support for department projects

Who you are...

You are likely someone who comes with at least three or more years of experience in a high-level administrative capacity supporting leaders in a fast-paced environment. Proficiency in the Microsoft Office suite of products (Word, Excel, PowerPoint, and Outlook) along with SharePoint is highly preferred. Additionally, knowledge of records management principles and practices, basic bookkeeping and budgeting principles, purchasing practices and procedures, and proficiency with managing complex calendars and scheduling high-volume meetings is highly desired for this role. Familiarity with the TALEO Applicant Tracking System, Microsoft Teams, Maximo, QuickBase, and Bananatag is also a plus.

In addition to the technical aspects of this job, you excel at multi-tasking in a fast-paced environment, taking initiative, being action-oriented and remaining composed under pressure, maintaining confidentiality, and communicating and sharing information effectively and appropriately. You are someone who uses critical thinking skills and creativity to effectively resolve issues and complete tasks timely and accurately. Additionally, you are eager to leverage your strong attention to detail and sound decision-making ability to ensure seamless team and departmental operations, and use your strong interpersonal skills to provide excellent customer service to Colorado Springs Utilities’ internal and external customers.
