Job Description

We are looking for an experienced and dedicated Administrative Assistant to our support Benicia, CA office. This position reports to the Operations Support Manager and is responsible for assisting in managing the support activities of the office.

Responsibilities

  • Provide administrative support to the Operations Support Manager.

  • Under the direction of the Operations Support manager, manage activities related to company events (Christmas party, corporate meetings, golf tournament, company picnic).

  • Support the bid process – prepare printed materials required for RFI’s, RFP’s, prequalification's and bid submissions.

  • Track and renew company business licenses.

  • Maintain job experience list in MS Access database as well as job inserts.

  • Create project/bid binders as requested.

  • Complete job file closeouts – Audit job file using checklist to ensure proper documentation and completion of sign-off.

  • Backup inventory and tracking of office supplies.

  • Maintain job files (i.e., scanning/filing).

  • Provide backup coverage and support for Front Desk Coordinator.

  • Perform other duties as assigned.

Qualifications

  • Must have excellent time management and organizational skills.

  • The ability to work under pressure with a high degree of accuracy.

  • Candidate should be able to multitask and effectively manage time.

  • Must have the ability to communicate accurately and clearly both orally and in writing.

  • Pleasant telephone manner; ability to "think on feet" when dealing with callers; customer service oriented "can do" approach to work.

  • Proficiency in Microsoft Office Suite is preferable.

  • Working knowledge of MS Access and MS Publisher.

Relationships

The Administrative Assistant reports to the Operations Support Manager for all of the duties and responsibilities listed above and for other duties that the Manager may assign during the duration of employment. Because of their involvement in matters related to their responsibilities the Administrative Assistant would also be required to communicate frequently with the other entities.
