Hooper Corporation Estimating Coordinator in Madison, Wisconsin

General Summary :

Responsible for managing future project opportunities and assisting estimating staff across the mechanical division.

Principal Accountabilities :

  • Manage the beginning-to-end bid process.Serve as the point person on all incoming hard bids and proposals for HVAC, Plumbing, Process Piping and Fire Protection work for all Hooper offices.

  • Direct weekly bid opportunity meeting.

  • Notify work groups of new opportunities and invitations.

  • Maintain bidding software to manage all upcoming bids including invite requests from multiple sources.

  • Set-up/maintain bid folders on network for all bidding projects.

  • Complete pre-qualifications.

  • Liaison to clients on all bid questions submitted and responses received.

  • Track Addendums/Amendments, notifying PM(s) of all changes (dates, documents, requirements).

  • Manage invites relating to bids, RSVP to pre-bids, post bid meetings.

  • Plan the bid preparation to ensure that deadlines are met.

  • Gather information required in RFP to include corporate, safety, project profiles, references, schedules, and other documentation. Work with departments involved to gather the relevant information and provide support to PMs as needed.

  • Monitor proposal content to ensure compliance.

  • Prepare/update resumes for project managers and field staff.

  • Create organizational charts.

  • Work with the bonding company to obtain bonds for bids and performance & payments.

  • Assist in vetting new Subcontractors by ensuring all requested documentation is received.Record information in the subcontractor database. Alert Safety about any issues.

  • Assist with preparation of presentations.

  • Track bid outcomes and document performances on RFP for future reference.

  • Performs additional assignments as requested by divisional and department need.

Knowledge, Skills and Abilities Required :

  • Minimum two years technical education, construction management coursework, or completion of coursework in a respective discipline. Experience with related construction industry projects a plus.

  • Analytical and problem solving, strong interpersonal, and verbal and written communication skills.

  • Working knowledge of basic mechanical systems.

  • Strong organizational management skills.

Description of Physical Working Environment :

  • Works in a variety of environments, including occupied buildings, construction sites, industrial buildings, health care facilities, and commercial establishments. Work in adverse weather conditions may be required.

  • Heavy lifting of 50 - 80 pounds may be required and the ability to climb up and down ladders and steps on site is required with or without reasonable accommodation.
